Privacy - TraiNet Web Users
When an account is created for you on TraiNet Web, your name, e-mail address, telephone, and fax numbers are entered and stored, along with the countries or TraiNet Web SiteID over which you have authority.
When you log into TraiNet Web your username and the IP address of your computer is stored. No other information about your computer is requested or recorded. We do not request or record information about your web browser or any other web sites you may have visited.Use of your information
As you use TraiNet Web, a copy of each record you approve or reject is permanently stored along with your username and the date you approved or rejected the record. This is used to construct an audit trail preserving the history of information as it moves through TraiNet Web.Disclosure of your information and control of your password
You are responsible for all actions taken with your User ID and password. Therefore we do not recommend that you disclose your password to any third parties. If you lose control of your password, you may be subject to legally binding actions taken on your behalf. Therefore, if your password has been compromised for any reason, you should immediately change your password.Reviewing and Changing your Personally Identifiable Information
Upon your request, we will deactivate your account. To make this request, e-mail TrainetSupport@usaid.gov.
Information gathered is never completely removed from our databases due to technical and legal constraints, including stored back-up systems.
Privacy - Participant Information
This policy covers how USAID treats personal information that TraiNet Web collects and receives about participants that is identifiable like name, address, e-mail address, telephone number, and that is not otherwise publicly available.
This policy does not apply to the practices of agencies or organizations other than USAID, or to people that USAID does not employ or manage, directly or indirectly.General Information Collection and Use
TraiNet Web collects personal information when an authorized user creates a new participant or updates a participant already entered in the system. TraiNet Web may combine information about a participant that is entered by more than one authorized user.
When a participant is created or updated, TraiNet Web stores information such as participant name, home address, country of residence, country of citizenship, birth date, gender, and training program details.
TraiNet Web collects information about a participant's training program progress, modification, and completion.
TraiNet Web electronically transfers information to the USAID Visa Compliance System (VCS) and eventually to the Department of Homeland Security as prescribed and required by the Student and Exchange Visitor Information System (SEVIS).Information Sharing and Disclosure
USAID does not rent, sell, or share personal information about any participant with other people or organizations except to provide information required by law or statute to agencies of the Federal Government, or under the following circumstances:
- To provide the information to trusted partners who work on behalf of or with USAID under contractual agreements. However, these organizations do not have any independent right to share this information.
- To respond to subpoenas, court orders, or legal process, or to establish or exercise our legal rights or defend against legal claims;
- To share information in order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of USAID's ADS253, or as otherwise required by law.
USAID limits access to personal information about a participant to employees and contractors who USAID believes reasonably need to come into contact with that information to do their jobs.
USAID has physical, electronic, and procedural safeguards that comply with federal regulations to protect personal information about participants.
USAID may update this policy. USAID will notify all authorized users of TraiNet Web about significant changes in the way USAID treats personal information about a participant by sending a notice to the authorized user's primary e-mail address.
